The amount of data moving to and across the cloud has significant, wide-ranging impacts on compliance. The increasing data in the cloud translates into greater risk of data breaches leading to more laws, increasing pressure and fines from regulators. As enterprises move data into a third-party cloudprovider or multiple providers, visibility and monitoring data becomes a major concern. With increasing pressure and fines from regulators, global businesses need to maintain compliance and ensure their service providers are also doing so. The safety of corporate data is further scrutinized by BYOD and the proliferation of mobile devices with sensitive corporate data being stored on them. At the same time, loss of devices or improperly secured devices can lead to further data leakage and potential breaches. To combat these challenges, enterprises need to be equipped with corporate sanctioned solutions that are modern, mobile and improve access to content as well as keep data secure and within corporate compliance.

To this end, Santa Clara, CA based Syncplicity’s role in modernizing legacy infrastructure to keep data safe and compliant is noteworthy. The company offers users an easy to use file sharing and collaboration solution with complete control of their data while fully adhering to compliance requirements. “Compliance is not a feature benefit, but is integrated into our product design,” opines Jon Huberman, CEO, Syncplicity.

Mitigating Risks with Storage Flexibility

Standing on the key pillars of data governance, modernizing IT infrastructure and empowering the digital workplace, Syncplicity enables clients to maintain complete ownership of their data. “When clients use the Syncplicity public cloud– we are just a processor. Even as a processor, we are bound to the same compliance and security controls as required by the client,” explains Huberman. Additionally, Syncplicity offers tools that organizations can customize for visibility and control based on their own unique requirements for compliance and security. Clients can decide where their data resides and they can select file storage locations based on a user’s Active Directory group membership or on the folder in which the content resides. “Our customers can customize their storage–on-premises, public cloud, build a private cloud–or select a combination that suits their corporate needs, security tolerances and budget,” points out Huberman.

Syncplicity mitigates risk by providing organizations with storage flexibility, by helping IT get control of their fragmented and expensive, legacy data infrastructure while giving users a modern, collaborative work experience– without forcing a full migration to the public cloud.

Using Syncplicity’s multi-folder sync, clients can sync any folder from the desktop to the cloud for real-time document protection and backup. This functionality allows IT teams to install the desktop client and enforce sync of various user folders ensuring easy access to content from any device in case an employee’s computer fails. “Our real-time document protection also helps organizations hit with ransomware recover all their user’s files–even in the cases where ransomware has affected large numbers of users within their organization,” asserts Huberman.

Adding credence to Syncplicity’s solution is their StorageVault Authentication (SVA) feature that shields the solution with the highest level of security control and compliance. SVA gives IT the control over where data is stored, who accesses it and restricts any unauthorized data access. “We provide customers end-to-end visibility and control of data flow,” delineates Huberman. With Syncplicity, users can even protect documents that leave the repository and revoke access when needed. Administrators can also geo-fence data to meet strict global residency regulation or export controls.

For instance, Siemens faced privacy, legal, and compliance requirements for over 100 countries in which they operate. Syncplicity provided the strong privacy and security controls, and legal frameworks that allowed them to optimize their IT infrastructure while meeting the compliance requirements of each region. Siemens opted to set up a private cloud managed by a trusted third-party so that they would have complete visibility and control over their infrastructure.

Syncplicity rendered a high-level of monitoring and detection capabilities to the Siemens team to ensure they were meeting their legal and security challenges. Similarly, the company has also assisted clients from the healthcare domain, owing to the solution’s adherence to HIPAA and HITECH controls.

Bidding Adieu to Legacy Systems— The Next Step

Syncplicity powers the current mobility era by enabling seamless and real-time access to all documents, files, and data, from any location and device. “We offer a desktop application for Windows and Mac, native mobile apps for iOS, Android and Windows, as well as a web-based browser experience,” states Huberman. To keep the security of data intact, Syncplicity stores all mobile data on its secure app container. Enterprise IT teams can set group-based security policies based on their organization’s requirements, related to sharing internally, with affiliated companies and externally, or mobile policies based on user type and sensitivity of data without impacting the user experience. “Our mobile apps have the endpoint security IT requires along with the policies to enforce corporate guidelines.” IT teams have access to over 30 granular policies that can be set differently based on the user’s role within the company.

The company’s big step forward in the secure file sharing space is the introduction of DataHub, an IT focused feature to automate migration of large volumes of unstructured data from legacy systems to Syncplicity. “By migrating unstructured data out of legacy systems, we essentially help large organizations to activate massive content that their users have struggled to access,” explains Huberman. “DataHub provides a much needed opportunity for companies to accelerate their digital transformation by allowing IT to modernize expensive, legacy storage infrastructure and move to cheaper software defined object storage architecture in a compliant manner.” In addition, the company’s SyncDrive gives users access to all their enterprise data without having to sync it down locally, while still being able to selectively sync specific folders and files–providing a best-of-both-worlds experience.

Additionally, Syncplicity’s new concept of PrivacyRegions will allow companies to remain compliant with region specific data protection and residency regulations. However, clients can seamlessly share files with affiliated companies based in other regions without their employee’s personal information (PII) being processed and stored in those regions. Syncplicity is raising the technology architecture bar with this new EFSS innovation that ensures corporate compliance without getting in the way of user productivity.
